Due to business growth, a new and fantastic opportunity has arisen in our Site Operations Team. We are looking for a highly proficient and methodical Scheduling Administrator to support the resourcing function in maximising the planning and organisation of site-order fulfillment across the UK.
This is a full-time role, based out of our Maidenhead office, of 37.5 hours per week over 5 days Monday to Friday. This role is office based with no options for hybrid working due to the nature of the work.
Reporting to the Resource Scheduler, the Scheduling Administrator is responsible for supporting the efficient delivery of all site work requirements through effective administrative support and a proactive approach to problem-solving. Tasks can vary from general support functions to supporting the team in managing the day-to-day administration of the team.
Your Responsibilities Will Include:
Generation of project requirement import sheets for the Resource Scheduler daily.
Completion of ongoing logistical planning tasks, including changes to live projects and the correction of equipment requirements.
Checking and signing off Site Technicians' timesheets. Chasing up missing timesheets and ensuring they are sent in time to accounts.
Checking weekly van checks have been completed. Escalating any defects that have been reported.
Review and validation of completed site works, and escalation of issues where required within standardised processes.
Monitor and record any site issues in KPI format.
Booking Hotels and Ferries for Site Technicians as and when required.
Assisting the Office Administration team with Paperwork and Media Management as and when needed.
Strong administration skills paired with high levels of attention to detail.
Proven experience of strong organisational skills with the ability to adapt and prioritise.
High-level Microsoft Excel skills.
Excellent written and verbal communication skills to be able to effectively communicate project information.
Ability to work both independently and as part of a team in a fast-paced, reactive environment.
Previous experience in a scheduling admin role would be beneficial.
What we offer
Up to £23.5k per annum, plus workplace pension.
20 days holiday (increases by one day per year after 3 years of service, up to a maximum of 5 additional days), plus bank holidays.
